Bid Coordinator - Architectural Consultancy

Our International Architecture and Design consultancy client has a new requirement for a well experienced BID Coordinator to join their team in Dubai, UAE to work on new projects. Successful candidates will have a proven background as a BID Coordinator working in an engineering, construction or professional services company in the UAE. Preference will be given to candidates with a technical design or commercial background.


This role is available for immediate joining and is a direct hire, permanent opportunity, employed directly by our client.


Key Responsibilities:

The role of the BID Coordinator is to prepare, coordinate and support submission and proposal activities for the MENA region, including globally significant bids. You will be working as part of a team reporting to the Commerical Director and Studio Chair

  • Submission coordination and production:
  • Working closely with the Bid Leaders and Managers to coordinate and prepare compliant and compelling submission documents following client protocol. Documents can include Pre-Qualification Questionnaires, Technical and Commercial Proposals, Presentations
  • Coordinate the Go/No Go process and How to Win meetings with Bid Leaders and Senior Management
  • Log and update opportunities and Leads in the CRM system
  • Read, understand, and identify key deliverables for each bid and convey to relevant individuals
  • Create submission specific templates including contributors, deliverables, and deadlines
  • Liaise with sub-consultants, communicating effectively to receive timely and accurate input
  • Coordinate and manage in-house team contributions to submission content
  • Contribute to written submissions wherever possible
  • Produce submission documents in Adobe InDesign
  • Maintain bids calendar
  • Support Business Development and Client Stream:
  • Maintain and update Sector Portfolios
  • Create and update Project Pages
  • Create and update CVs


Bid Coordinator Experience:

  • You will have at least 3 years’ experience in a similar role with a genuine interest in Architecture/Design.

You will be able to demonstrate:

  • Excellent written and spoken English, Arabic would be an advantage
  • Working knowledge of submissions in the Middle East region
  • Strong organisation skills and a methodical approach
  • Highly proficient skills in Adobe InDesign, Word, Excel, PowerPoint, Acrobat
  • CIM qualification (or international equivalent) would be preferred
