Executive Secretary - Consultancy

Our Multi National Project & Commercial management consultancy client has a new requirement for a well experienced Executive Secretary to join their team in Abu Dhabi, UAE. Successful candidates will have a proven background as an Executive Secretary managing the diary and office admin of C Suite executives and ideally have experience of working in and around construction head office environments.
This role is available for immediate joining and is a direct hire, permanent opportunity, employed directly by our client.
Key Responsibilities:
- Manage executive schedules by prioritizing appointments and ensuring efficient time management to maximize productivity.
- Prepare detailed reports and presentations, synthesizing complex information into clear, actionable insights for decision-making.
- Act as the primary point of contact between executives and internal/external stakeholders, fostering effective communication.
- Coordinate travel logistics, including itineraries and accommodations, to ensure seamless business travel experiences.
- Oversee office operations, maintaining organized systems for documentation and correspondence to enhance workflow.
- Facilitate meetings by preparing agendas, taking minutes, and following up on action items to ensure accountability.
- Handle confidential information with discretion, ensuring data integrity and compliance with organizational policies.
- Support project management by tracking deadlines and deliverables, ensuring alignment with strategic goals.
- Develop and implement administrative processes that enhance efficiency and streamline operations within the team
Executive Secretary Experience:
- Bachelor's degree in Business Administration or a related field, providing a solid foundation for administrative tasks.
- A minimum of 3-5 years of experience in an executive support role, demonstrating proven reliability and expertise.
- Certification in Administrative Management (CAM) or equivalent, showcasing commitment to professional development.
- Fluency in English enhancing communication with diverse stakeholders
- Advanced proficiency in Microsoft Office Suite and project management software, ensuring efficient task execution.
- Strong organizational skills with keen attention to detail, guaranteeing accuracy in all aspects of work.
- Exceptional interpersonal skills, enabling effective relationship-building with colleagues and clients alike.
- Proactive problem-solving abilities, with a positive attitude towards tackling challenges and driving solutions.
