Lead Document Controller - PMC

Our multi-national Project Management Consultancy client has a new requirement for a well experienced Lead Document Controller to join their team in Abu Dhabi. Successful candidates will have extensive Document Control Management in setting up and managing document control systems on large scale construction projects and must have worked for a recognised PMC or Consultancy business.


This role is available for immediate joining and is a direct hire, permanent opportunity employed directly by our client.


Responsibilities:

  • Supervises employees responsible for the flow and storage of all project documentation (correspondence, contracts, construction documents, engineering, schedules, etc.) between all the client's stakeholders, consultants, project operations, engineering disciplines, construction teams, and other related support groups.
  • Working daily in Aconex, and other PMIS systems
  • Processes one or more document types through all procedural steps in accordance with well defined procedures and guidelines (will be expeted to assist in the development of these procedures and guidelines for multiple stakeholders).
  • Ensures that preestablished document control requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met throughout the duration of the project.
  • Provides assistance to users in capturing and locating electronic information.
  • Creates and maintains an established data distribution system and schedule for the assigned project based upon client, project, department, and supplier requirements. May revise system or schedule as required to ensure timely approvals and distribution. Expedites review, signature approval, and release of supplier and internally produced documents.
  • Verifies retention requirements, arranges document cataloguing, packing, and long term storage or disposal of appropriate documents at time of closeout. Manages scheduled destruction of archived documents according to company and/or Client guidelines; provides assistance with document retrieval.
  • Required to manage up to 12 other document control employees


Lead Document Controller Requirements:

  • Minimum of 10 years’ experience post graduation with experience of at least 5 years in recognised PMC or Construction Consultancy companies
  • Excellent communication skills in English, written and spoken;
  • Experienced user of internet based document control systems, e.g. ACONEX, Procore and Asite;
  • Proficient in implementation and management of Electronic Documentation Management Software systems for large scale projects
  • Experienced user of MS Office;
  • Experience to and capable of managing a team of document controllers.
  • In-depth knowledge of document procedures and ISO procedures;
  • Effective in building good working relationships within complex structures, both internally and with various project stakeholders.
