Technical Document Controller - Facilities & Asset Management

Our leading Facilities and Property Management consultancy client has a new requirement for a well experienced Technical Document Controller to join their team in Abu Dhabi, UAE. Successful candidates will have extensive Technical Document Control experience on large scale FM and Asset Management projects in the UAE. Only candidates with proven experience of development and management of CAFM systems will be considered.


This role is available for immediate joining and is a direct hire, permanent employment opportunity.


Responsibilities:

  • Review procedures and implement strategies to standardize the Asset Register for every asset; make sure the Asset Register is complete and continually updated
  • Maintain clear and process-driven contracts documentation with clear tracking of service inclusions/exclusions, additional / removal of properties/scope of works backed with necessary addendums ruled by clear onboarding processes
  • Review and raise any anomalies in internal or CAFM reporting
  • Governed by the internal procedures maintain all project server filing, technical documents, method statements, detailed shop drawings and day to day departmental correspondence, to ensure all information is available, chronologically organized and up to date
  • Coordinate with Contractors for receiving hand over documents, completion certificates, warranty certificates, operations and maintenance manuals etc. to ensure all information is available and up to date
  • Act as the custodian for all the graphical information / drawings / documents of the Clients sites and as well as internal documentation to ensure that there is one point of contact for all technical documents / drawings / graphical information
  • Review of all Purchase Requests as per the requirements for CAPEX (Capital Projects Execution Plan) and OPEX (Operational Projects Execution Plan) projects to deliver an organized each asset’s life cycle documentation that includes past, present and future expectations
  • Review and improve graphical information methodology for the client to ensure that there is a common standard used by draftsman and contractors
  • Ensure updated (amend changes and alterations) and detailed Civil and MEP drawings / graphical information; make sure all documentation and technical evaluation is available for each of the Client site in order to ensure current and historic information for projects / maintenance / internal processes etc.
  • Maintain accurate records of audits and property condition assessments, insurances, design calculations for HVAC, Electrical, and Plumbing and Fire protection systems
  • Perform other duties as assigned by the Assistant Asset Manager


Technical Document Controller Requirements:

  • Relevant diploma level qualification (minimum)
  • Bachelor’s Degree (preferred) in Facilities Management, Engineering, Asset Management, Property Management, Business Management, and Contract Management.
  • Auto CAD Certification
  • Minimum 5 years’ experience in Project Design, Execution with minimum 3 years in UAE
  • MEP designs, Concepts, Site execution Methodology, Auto CAD, MS programs, Project document Control, all of the above in the engineering environment
  • Proficient in AutoCAD, Microsoft Project and MS office.
